Who we are

Grimsby Philatelic Society is a small, unincorporated hobby society based in Grimsby, North East Lincolnshire. For the purposes of UK data protection law we are the "data controller" for any personal data collected through this website. You can contact us about privacy matters at secretary@grimsbystampclub.com.

What data we collect

This website does not use accounts, analytics or advertising trackers, and it does not keep a database of visitors. The only personal data we collect is what you choose to give us through the contact form: your name, email address, the subject you select, and the message you write.

Why we collect it, and our lawful basis

We use this information solely to respond to your enquiry — for example, about visiting a meeting, joining the Society, or valuing a collection. Our lawful basis for processing it is your consent, given by submitting the form, and our legitimate interest in running the Society and answering enquiries sent to us.

How your message is handled

When you submit the contact form, its contents are sent directly to our committee by email and are not stored in any database on this website. From that point, your message lives in our email inbox like any other correspondence, and is kept only for as long as reasonably needed to deal with your enquiry and any follow-up, after which it is deleted in the ordinary course of our email housekeeping.

Cookies

This site sets one cookie, PHPSESSID, which is strictly necessary for the contact form to work securely. It lets us confirm that a submission came from a real visit to this site (rather than an automated script) and stops the same visitor from sending repeated messages in quick succession. It contains no tracking information, is never shared with anyone, and expires automatically when you close your browser. Because it is strictly necessary for the site's security, UK cookie rules don't require us to ask your permission for it — and we don't use any other cookies that would.

Other websites embedded on this site

Our Contact page embeds a map from OpenStreetMap so you can find our meeting venue. Loading that map means your browser makes a request directly to OpenStreetMap, which may log your IP address under its own privacy policy — see the OpenStreetMap Foundation's privacy policy for details. We have no control over, and receive no data from, that request.

Sharing your data

We do not sell, rent or share your personal data with any third party. Your message is seen only by the Society's committee, for the purpose of replying to you.

Your rights

Under UK GDPR you have the right to ask us what personal data we hold about you, to have inaccurate data corrected, to ask us to delete it, and to object to how it's used. Since we don't keep a database of contact-form submissions, this in practice means asking us to delete any email correspondence we're still holding from you. To exercise any of these rights, email secretary@grimsbystampclub.com. If you're unhappy with how we've handled your data, you can also complain to the UK's data protection regulator, the Information Commissioner's Office (ICO).

Changes to this policy

If we change how this website handles personal data, we'll update this page. Editor's note: review this policy whenever the site's functionality changes, and update the "last updated" date above.
